Proxy Bidding Information

Instructions for Proxy Bidding

Each person placing a proxy must purchase a ballot book costing $85. The ballot book contains one ballot for each artwork. If you have already purchased a ticket to the event, the $85 fee will be waived.

If you want to submit a fixed-price proxy bid for a single piece of artwork, provide the relevant details about that piece on the proxy form. For those interested in multiple artworks, list all desired pieces on the same form. Be sure to specify your preferences, such as ranking the items in order of priority or indicating if winning one piece should exclude bidding on another.

For example, you can prioritize your selections as follows:

  1. Artwork A
  2. Artwork B (only if Artwork A is unavailable)

If no preferences or instructions are provided in writing, it will be assumed that you wish to purchase all listed artworks if selected.

Bidding on multiples: For work with multiple editions, volunteers will record sales in the order of the names drawn until the edition sells out or all names are drawn.

Step 1: Submit Your Proxy Agreement

  • Complete the Proxy Agreement to Purchase Form (Download a PDF below.)
  • Fill out all required fields, including your contact information and credit card details. (If possible, enter a phone number that can receive text messages – Coors Western Art representatives will send a text alert to winners.)
  • List all artworks of interest under the appropriate category (Bid Box or Silent Auction).
  • Email the completed form to gweihs@nationalwestern.com or deliver it in person.
  • Deadline: January 6, 2025, at 12:00 PM (Noon).
  • A volunteer will act as your proxy, handling your bids for both the Bid Box and Silent Auction. A representative will let you know by text or phone call if you’ve won.

Step 2: Bid Box Process

  • Submit Proxy Form and indicate each artwork that you wish to enter into the Bid Box. 
  • Drawings occur on January 7, 2025, at 7:30 PM.
  • Proxy volunteers will contact you by phone if you win.
  • First drawn has until 7:50 PM to claim the artwork.
  • Subsequent drawings will proceed at 10-minute intervals.
  • Any unclaimed artwork after 8:10 PM becomes available for purchase.

Step 3: Silent Auction Process

  • Maximum Bid Form. Enter your maximum bid for each artwork you are bidding on in the silent auction. Indicate if you would like to use the “Buy It Now” option, set at twice the starting bid.

  • Silent Auction closes at 8:15 PM
  • Proxy volunteers will notify winners after 8:30 PM to confirm purchases.
